This guide will help you add your email account to Microsoft Outlook using the settings provided by your hosting provider.

Before you begin, make sure you have:

Step 1 – Open Outlook

Open Microsoft Outlook.

If this is the first time you're opening Outlook, you'll see the screen to add a new email account.

If Outlook is already configured with another account:

  1. Click File.

  2. Click Add Account.

Step 2 – Enter Your Email Address

Type your full email address.

Example:

yourname@yourdomain.com

If the option is available, click Advanced options and check Let me set up my account manually.

Then click Connect.

Step 3 – Choose the Account Type

Select the type of account you want to configure:

  • IMAP (Recommended)

  • POP (Only if your organization uses POP)

For most users, IMAP is the recommended option because it keeps your emails synchronized across your computer, smartphone, and webmail.

IMAP Settings (Recommended)

Incoming Mail Server

Setting Value
Username Your full email address
Password Your email password
Server mail.yourdomain.com
Port 993
Encryption Method SSL/TLS

If prompted, make sure authentication is enabled.

Outgoing Mail Server (SMTP)

Setting Value
Server mail.yourdomain.com
Port 587
Encryption Method STARTTLS or TLS

Also enable the following option:

My outgoing server (SMTP) requires authentication

Then select:

Use the same settings as my incoming mail server.

POP Settings (If You Use POP)

The settings are the same as IMAP, except for the incoming server port.

Setting Value
Server mail.yourdomain.com
Port 995
Encryption Method SSL/TLS

The outgoing server settings remain the same:

  • Server: mail.yourdomain.com

  • Port: 587

  • Encryption Method: STARTTLS or TLS

Step 4 – Complete the Setup

After entering all the required information:

  1. Click Next.

  2. Wait while Outlook verifies your account settings.

  3. If prompted, enter your password again.

Once the setup is complete, click Finish.

Your email account is now ready to send and receive messages.

Helpful Tips

  • Always use your full email address as the username.

  • Double-check that your password is entered correctly (remember that passwords are case-sensitive).

  • Replace yourdomain.com with your own domain name when entering the server address (for example, mail.example.com).

  • Whenever possible, use IMAP, as it keeps your emails synchronized across all your devices and webmail.
